Update Notification

The Problem

Well used company Intranets contain thousands of documents. Keeping track of changes and additions can be time consuming. On the other hand, it is necessary to be aware of changes to contract terms, company policies, ISO 9000 procedural instructions applicable legislation (and so on). But not everyone needs to track every development.

Description

This Intranet component is designed to ensure that the relevant people are notified when documents are added, updated or (optionally) deleted from specified areas of the company Intranet.

The system provides facilities for Intranet users to subscribe to the service, and select one or more document areas for which they receive notifications. The system periodically scans the document storage areas and detects changes to the documents stored. When it does so, it prepares email messages that are sent to all the relevant subscribers for that area. The email message contains embedded Intranet links that allow the subscriber to click on the link to navigate to the new or changed document concerned.

An additional (optional) feature is support for "clickable" links on web pages in any of the document areas that would allow any user to send an email to all the subscribers for that area.

In addition to helping users to control the amount of information that they receive, the system will provide the administrator / owner of the web site to collect useful information on the major users of the site.

Requirements

The system requires Internet Information Server (4 or better) with the SMTP (email) service enabled. Microsoft Access (Office 97 or better) or SQL Server (6.5 or better) are required to provide the back end data services. Other back end database systems on request.
